From time to time it may be necessary for employees to travel for attendance at training sessions, meetings and seminars. Employees attending off-site seminars, meetings or training sessions are paid at their regular rate of pay.
All necessary reasonable expenses are paid for authorized attendance. Reasonable expenses may include registration fees, required materials, travel expenses (mileage), meals and lodging. In some cases the County may apply ceilings, or limits, on certain expenses. For meals, reasonable expenses plus a tip not to exceed 15% will be reimbursed. Snacks and light refreshments are not covered. Prior to traveling outside Ottawa County, the employee must submit an Expense/Travel Request form, which will be signed by the Department Head/Supervisor and approved by the Board of Commissioners. To be reimbursed for expenses, receipts must be submitted to the business manager of the department (to be turned in to the Auditor for reimbursement). Note that meals reimbursed for one-day trips will be submitted with payroll, while mileage is submitted as a travel expense. Refer to Section 2.5 on Taxable Fringe Benefits. Any questions regarding this policy may be referred to the Department Head/Supervisor. Are delivery charges reimbursable? Are tips reimbursed? If so, are they on the total bill (tax included or before tax)? Are booking charges, service charges etc, reimbursable? Does the county reimburse for itnra-county travel?
